377.2 - ATHLETIC LETTER OF INTENT
Interscholastic Student - Athletic Policies and AgreementLetter of Intent
The following general policies shall govern each student athlete participating in any phase of the Auburndale Schools interscholastic program.
As a member of the Auburndale Athletic Program, I ________________________ agree to abide by the following policies:
I. Adherence to the Wisconsin Interscholastic Athletic Association
Constitution and Rules The student will abide by all the rules and regulations of the Wisconsin Interscholastic Athletic Association (WIAA) Constitution and Rules Handbook. Copies of the handbook are available in the school library and each athlete is advised to familiarize him/herself with those rules and regulations.
II. Eligibility
The student must meet all of the age enrollment, attendance and scholastic requirements established by the Wisconsin Interscholastic Athletic Association (WIAA). Quarterly eligibility for student athletes and cheerleaders will be determined by the Administration of the Auburndale schools. Any student who has a cumulative "F" in one or more credit courses, will be ineligible for participation in the interscholastic events until the "F" is raised to a passing grade. Students shall not participate in any other community sports during the season in which they wish to participate at school. Refer to Academic language.
III. Forms and Releases
Before a student may participate in any sport including conditioning and practices, he/she must have the following information to the proper officials. (This includes transfer students).
A. The Wisconsin Interscholastic Athletic Association (WIAA) health questionnaire and physical examination card, with student, parent, and physician's signature to Director of Athletics.
B. A copy of the Emergency Medical Notification Form to Director of Athletics.
C. Interscholastic Student Athletic Policies and Agreement to Director of Athletes (Letter of Intent).
IV. Attendance the Day Before and After a School Contest
A student is expected to attend all classes on his/her schedule on the day of a contest and the next school day following the contest. Habitual absence before and after a contest may result in suspension from the team. To be eligible to participate in the contest and/or practice of the day, the athlete must arrive at school no later that 12:00 noon and be present at least the afternoon of the day of the contest, unless the student has been excused from school attendance for such reasons as doctor's appointment, field trip, college visitation, driver's test, other such reasons other than illness. The purpose of this clause is to keep a student from participating when he/she is ill.
V. Attendance at Practices and Team Meetings
Team members are expected to be present at all practices, team meetings, contests, and special occasions unless excused by the head coach.
VI. Care of School Equipment
The athlete is responsible for all equipment issued to him/her. Lost, stolen or damaged equipment must be paid for by the athlete or his parents before any grades are issued.
VII. Transportation to Athletic Contests
All team members will travel to and from out-of-town contests by means of the transportation provided or organized by the athletic director. Cheerleaders will ride with the team bus to and from all away games, unless another bus is available, i.e., varsity football cheerleaders will ride on the band bus, etc. The only exception to this rule would be the release of the cheerleader/athlete to the parents and parents should be discouraged from making this request. If such request is made, the parent should visually approach the coach and make the request along with a written note to the coach.
VIII. Medical Release to Again Participate
If an athlete is seriously injured he/she must have a doctor's release before he/she can practice or compete in athletic contests. PARTICIPATION IN AFTER SCHOOL PRACTICE OR ATHLETIC CONTESTS WILL NOT BE PERMITTED IF THE ATHLETE IS OUT OF SCHOOL ALL OR PART OF THE DAY OF THIS PRACTICE OR CONTEST FOR REASONS OF ILLNESS OR INJURY.
The only exception to this rule is a doctor's release, which must be presented to the coach prior to the practice or the contest. The doctor may make the release orally, directly to the coach.
IX. Personal Conduct
Participation on an athletic team or cheerleading squad in Auburndale Schools is a privilege and the participants must earn the advantage to represent Auburndale Schools by conducting themselves in such a way that the image of the Auburndale School District would not be tarnished in any manner. Any conduct contrary to the ideals, principles of the school and the WIAA, including, but not limited to, criminal behavior is prohibited. Any participant whose conduct is judged to reflect a discredit upon himself/herself, the team, or the Auburndale Schools whether or not such activity takes place during or outside school hours and sessions of the sport season will be subject to disciplinary action as determined by the coach, the athletic director and/or the school principal.
X. Use of Tobacco, Alcohol, or Drugs
Smoking, the use of chewing tobacco and smokeless tobacco, drinking of alcoholic beverages, the illegal use of drugs or controlled substances by any athlete or cheerleader is prohibited both in and out of season. Upon evidence of the possession or use of tobacco in any form, alcohol or drugs, the athlete shall be suspended by the Athletic Director, pending investigation. Such suspension shall be handled according to district policy.
A. Penalties for Co-Curricular Activities
1. First Violation - Penalty: After confirmation of the first violation, the student shall lose eligibility for 1/3 of the scheduled contests in which the student/athlete is a participant. The student/athlete may become involved in a treatment program and therefore decrease the suspension to 1/9 of the scheduled events.
Program - School Provided
Length of Program - 8 Sessions
Reinstatement - Once the individual begins treatment sessions
*The student/athlete must complete the entire program. If the individual does not complete the program, a suspension of 1/3 of the scheduled contests in which the student/athlete participates will begin following the first missed session.
2. Second Violation - Penalty: After confirmation of the second violation, the student/athlete shall lose eligibility for all extra-curricular activities in which the student/athlete participates. The individual may enter a treatment program provided by an established center/institution and regain eligibility after serving a suspension of 1/3 of the scheduled contests.
Program - Program provided by an established institution
Length - To be determined by the institution
Eligible - After completing suspension of 1/3 of the scheduled contests
*The student/athlete must complete the entire program. If the student/athlete does not complete the program, a suspension for an entire sports season in which the student/athlete participates will begin following the first missed season.
3. Third Violation - Penalty: After confirmation of the third violation, the student/athlete will become ineligible for an entire calendar year.
4. Fourth Violation - Penalty: After confirmation of the fourth violation, the student/athlete will lose the remainder of his/her athletic eligibility at Auburndale High School.
5. All suspensions will be carried over to the next season or to the next year if the suspension cannot be complete during the current season.
6. It is the intention of the School District of Auburndale to promote respect, honesty and accountability. If a student denies violating conduct provisions of the school’s athletic code, the school will provide an opportunity for the student to be heard prior to any penalty being enforced. However, any student/athlete found to be dishonest during the investigation process shall have their individual penalty doubled.
XI. Quitting the Team
The normal rules for athletes quitting a team is that they make themselves ineligible for any sport during that season which has already begun. An athlete, upon approval of both coaches and the athletic director, may try out for and participate in another sport during that season.
XII. Letters, Awards, Etc.
Letters and awards will be given as specified by the school award program and at the appropriate recognition activity as determined by the school administration. All participants are expected at these programs, just the same as they would be expected at a practice or team meeting.
XIII. Team and Individual Discipline
Each coach will have discipline rules for minor infractions, such as inattention to directions, horseplay, tardiness to practice, etc. These rules shall be put in writing and approved by the school principal and athletic director. They shall also be posted in the respective locker rooms and be on file in the Athletic, Principal and Superintendent's Office.
XIV. Suspension from a Team or Squad
Temporary suspensions will be made by the athletic director, or school administrator. The athletic director and/or administrator
will confer with the coach before action is taken. Causes for temporary suspensions may include, but not be limited to the following:
A. Grades
B. Personal Misconduct (Students are ineligible for practice or contests during periods of suspension either in or out of school)
C. Unexcused Absences from Meetings or Practices
D. Violations of Athletic Policies
E. Unsportsmanlike Conduct
F. Use of alcohol, tobacco, illegal use of or possession of drugs not prescribed for the individual by a physician.
XV. Removal from a Team
Removal from a team will be made by the coach or the sport, athletic director, or school administrator. The athletic director and/or principal will confer with coach before any removal action is taken. Causes from removal from a team may include, but not be limited to the following:
A. Continuous violations of the Auburndale Schools Code of Student Conduct and Discipline.
B. Repeated violations of school athletic or team policies.
C. Personal misconduct that involves police or court action either during or outside school hours and sessions of the sport season.
D. Verbal or physical attack upon an opponent, contest official, teacher, fan, coach or any other person.
E. Continued acts of unsportsmanlike conduct.
XVI. Appeal Process
Should the athlete deny the complaint, the "appeal process" procedure shall be implemented which is as follows: The appeal process outlines an individual's recourse in the event he/she feels a wrong decision has been made. The "appeal process" steps outlined hereafter are the procedures for an athlete and his/her parents to follow in appealing decisions relating to eligibility. It should be understood that athletes and parents will be required to follow the "appeal process" steps.
A. After a ruling of ineligibility resulting in suspension from athletics has been made, an athlete and/or his/her parents may formally appeal the decision in writing to the athletic director. This written appeal must be received by the athletic director within five calendar days after notice of the ineligibility ruling.
B. The athletic director within three days of receipt of such written appeal shall conduct a meeting between the parents, student, and the Eligibility Committee, (Principal, Athletic Director, Counselor, and Pupil Services Director) and formalize an eligibility decision in writing and send a letter by certified mail to the parents outlining the decision of the committee.
C. After an appeal has been received and the school's formal reply mailed to the parents, if the student and parents still feel his/her case has been handled incorrectly, an appeal may be made to the District Administrator (Superintendent)/Board of Education. The parents and/or student will have 5 days to make a written appeal. The District Administrator may hear the appeal or upon his/her discretion defer the hearing to the Board of Education.
D. For further appeals, please consult the Wisconsin Interscholastic Athletic Association "WIAA Handbook". Due Process Procedure. (A copy is available from the building principal).
Academic
All students in co-curricular activities must maintain passing grades in all courses each quarter.
A failing grade will result in:
A. 15 school days and nights probation from activities (no games or events/only practices).
B. After 15 school days and nights, progress is reviewed. At the time of re-evaluation, if the student is receiving a failing grade, he/she will be put on probation for another 15 school days and nights period.
C. For fall sports (cross country, football, volleyball, and cheerleading), previous 4th quarter and semester grades will determine eligibility.
D. Students receiving mid-term progress report will have courses monitored for remainder of the quarter. (Mid-term progress reports will be provided to the coaches/activity advisors by the Guidance Counselor).
E. A student who is placed on academic probation should be evaluated as a possible at risk student by an academic eligibility committee. This committee will include:
1. The teacher(s) of the class in which the student has received a failing grade.
2. Principal
3. Counselor
4. Special Education Teacher if applicable
5. Athletic Director
6. Coach or activities director
If the committee determines that the student is doing his/her best in the class, the committee may allow the student to return to co-curricular activities.
